Order Receiving and Accepting
When a new order arrives in GrubOne, the app notifies the user so they can view and begin processing it. Depending on how the location has been configured, orders can be accepted either automatically or manually.
1. Auto Accepting Orders
By default, orders are set to be automatically accepted to streamline operations. If enabled, all incoming orders will be automatically processed without requiring manual confirmation.
Steps for Auto Accepting Orders
-
A new order arrives in the OMS
- User gets notified
- Click on view order(s)
-
The system instantly accepts the order on behalf of the user
-
The order will appear in the Live Orders tab
Note💡: If the partner wishes to enable manual acceptance instead, this can be changed on request by internal teams for the specific location(s).
2. Manually Accepting Orders
If a location is configured for manual acceptance, only users with the appropriate role-based permission can accept or reject orders.
Steps to Manually Accept Orders
-
A new order notification appears
- When the notification is acknowledged
- Order Details pop-up will be displayed(only shown when manual acceptance is enabled)
Note💡: If the user does not action the new order within a given time the order would get auto accepted.
-
Review order information and user can click on the accept button to accept the order
- Then order would appear in the Live Orders tab
Note💡: If the order is scheduled, a label will appear at the top showing the scheduled time/date
Steps to Manually Reject Orders
- When the new order notification is acknowledged
-
If the user clicks on Reject on the order details pop-up
-
The order will disappear from the ongoing orders tab
Note💡: The acceptance pop-up cannot be closed until all orders are either accepted or rejected.
3. Managing New Orders Without Permission
If the user does not have permission to accept orders:
-
The orders would appear in the Ongoing Orders tab in a disabled state
-
A Pending Acceptance button will be displayed but disabled
-
Once another user with permission accepts the order, the button will change to Start, and the user without permission can continue processing the order
